Terms of service
These terms cover using koaform. They are written to be read, not to be impressive — if something here is unclear, ask us and we will explain it rather than pointing at a clause.

The short version. Build what you like, within the law. Your forms and responses are yours. The service is free and provided as-is. Do not use it to spam, phish, or harvest data from people who have not agreed to give it.
1. Who these terms are between
"Koaform", "we" and "us" mean the operator of koaform.com. "You" means the person or organisation using the service. Using koaform means you accept these terms. If you are agreeing on behalf of a company, you confirm you are allowed to.
2. Accounts
You can build a form without an account. Publishing one requires signing up, because a published form accepts data from other people and we need a verified address to hold responsible for it.
- Give us a real email address you control.
- You are responsible for what happens under your account. Tell us promptly if you think someone else has access.
- One person or organisation per account. Do not share sign-in codes.
3. What it costs
Koaform is free, and the free plan is meant to be generous rather than a trap: unlimited forms and unlimited responses under fair use, every question type, and CSV export.
A small set of features — removing koaform branding, custom domains, extra notification recipients, larger uploads — are not self-serve. Emailsupport@koaform.com and we will talk to you. We do not take card details and there is no automatic billing.
"Fair use" means what a reasonable person would think. We are not going to invoice you for a busy month. If your usage is extreme enough to affect other people, we will contact you before doing anything about it.
4. Who owns what
Your content is yours. The forms you build and the responses you collect belong to you. We claim no ownership and will not use them to train anything, sell to anyone, or publish anywhere.
You grant us only the permission technically required to run the service: to store your forms, show them to the people you share them with, and deliver responses to you.
Koaform's own software, design and branding remain ours.
5. Your responsibilities as a form owner
This is the part that matters most, because a form collects data from other people.
- You are the data controller for everything your forms collect. You decide what to ask and why; we process it on your instructions. See the privacy policy for what that split means.
- Tell your respondents what you are doing with their answers, and obtain consent where the law requires it.
- Only collect what you need. If you ask for sensitive information — health, finances, identity documents — extra legal obligations fall on you, not on us.
- Honour their rights. If a respondent asks you to delete their answer, that request is yours to action.
6. What you must not do
- Break the law, or help anyone else to — including collecting data you have no right to collect.
- Phishing. Do not build forms that impersonate a bank, an employer, a government body, or anyone else in order to harvest passwords, card numbers or identity documents. This is the fastest way to have an account closed without warning.
- Send unsolicited bulk messages pointing at your forms, or use koaform in any way that damages our ability to deliver email.
- Upload malware, or content that is unlawful, harassing, or sexualises children.
- Attack the service — probing for vulnerabilities without permission, circumventing rate limits or bot protection, or scraping in bulk.
- Resell koaform as your own product without a written agreement.
7. Suspension
We may suspend or close an account that breaks these terms. For anything other than phishing, malware or illegal content, we will contact you first and give you a chance to fix it, because we would rather you kept using koaform than lost your work over a misunderstanding.
If we close your account for a breach, we will still give you your data unless the law prevents us.
8. Availability
We work to keep koaform up and we take backups, but the free service comes with no uptime guarantee. We may change or discontinue features. If we ever shut down the service, we will give account holders reasonable notice and time to export.
Keep your own copy of anything you cannot afford to lose. CSV export exists for exactly this.
9. Closing your account
You can stop at any time. Delete your forms in the app, or email us to close the account entirely and we will remove your data.
Note that a published form's link is permanently retired when the form is deleted. We never re-issue a URL to a different form — a link on a poster or in an old email must never start delivering someone else's data.
10. Warranty and liability
Koaform is provided "as is", without warranties of any kind, to the extent the law allows. We do not promise it will be uninterrupted, error-free, or fit for a particular purpose.
To the maximum extent permitted by law, we are not liable for indirect or consequential loss, lost profits, or lost data. Because the service is free, our total liability to you is limited to the amount you have paid us, which is nothing.
Nothing here excludes liability that cannot lawfully be excluded — including for death or personal injury caused by negligence, or for fraud. If you are a consumer, your statutory rights are unaffected.
11. Changes to these terms
We may update these terms. If a change materially affects you, we will email account holders rather than quietly editing this page. Continuing to use koaform after a change means you accept it.
12. Governing law
These terms are governed by the laws of the jurisdiction in which koaform's operator is established, and disputes go to the courts there. If you are a consumer, you keep any right you have to bring a claim in your own country.
